RSVPs without the spreadsheet: collecting replies from 150 guests

The short answer

Put one reply form on your wedding website, ask only what you will use (attending, how many, meal or dietary needs, a message), give one firm deadline, and let the replies collect in a single list. Then chase only the people who haven't answered, once, a week before the deadline.

Why replies scatter

Without a form, replies arrive everywhere: a comment on the save-the-date, a voice message to your mother, a "yes!" in a group chat that nobody can find two weeks later. Counting them becomes a weekend job, and the caterer still needs a number.

A single reply form fixes the counting. Everyone answers the same questions, in the same place, and the list adds itself up.

Ask only what you will use

  • Attending or not.
  • How many, if you invited a household or allowed a plus-one.
  • Meal choice or dietary needs, only if your caterer needs them.
  • A short message. Optional, and often the best part of the whole list.

Every extra question lowers the number of people who finish the form. If you won't act on an answer, don't ask it.

Families, not just individuals

Invitations often go to a whole household. A good form lets one person answer for everyone on that invitation, name by name, instead of asking each relative to reply separately. It also stops a plus-one from turning into a plus-three.

One deadline, said everywhere

Put the reply-by date on the invitation, next to the reply button, and in the confirmation. Give yourself room: the caterer's final number is usually due before the reply deadline you would choose on instinct, so ask them first and work backwards.

The follow-up

About a week before the deadline, look at who hasn't replied and send one friendly message to each of them, with the link. That's the only chasing you should have to do. After the deadline, a phone call to the last few is quicker than another round of messages.

Reading the list

The point of collecting replies in one place is that you can read them at a glance: how many are coming, how many meals of each kind, who sent their regrets and why. When the caterer, the coordinator or the seating plan needs a number, you'll have it, and you'll be able to export it.
